How it works

A copilot, not another inbox.

Recruita doesn't wait to be typed into. It watches what actually happens, the replies, the calls, the portal clicks, and keeps one honest picture of where every process stands, and prepares whatever should happen next. You stay in the driver's seat: everything external is a draft until you approve it.

The loop

Five steps, repeated
01

Something happens.

A client replies. A candidate counters. A call ends. A brief lands.

02

Recruita understands it.

Not keywords. Meaning. A “yes, but can we do Friday?” is a counter, not a confirmation. A “just send me his email” is a request that needs your candidate's consent first.

03

It updates what's true.

Emails are evidence; what's true lives in one place. When reality changes, everything that depended on the old reality updates with it.

04

It prepares your next move.

The relay, the acknowledgement, the booking: drafted, addressed, ready.

05

You approve. It acts.

And then it goes back to watching, one step ahead of you.

When the honest answer is “nothing needs doing,” Recruita shows you nothing. Waiting looks like waiting, and if the other side goes quiet for a couple of days, a chase appears, drafted.

A day with Recruita

The morning brief lands before you're at your desk. You open Today: three things actually need you, each with its email already written. Approve. Approve. Tweak one line, approve.

A client calls about a new role. You record it, and by the time you hang up the structured brief exists. A candidate call in the afternoon writes itself into their Living CV, every new fact colour-coded to the call it came from, waiting for the candidate's sign-off before any client sees it.

Meanwhile your client picked interview times in the portal, your candidate countered, Recruita checked the new time back with the client, both sides agreed, and the Teams invite is prepared for the slot they agreed. You tap Send.

A recruiter leaves for two hours, returns after ten emails, three candidate replies and a changed interview time, and finds the desk already reorganised correctly around what happened. Recruita already did that work. The bar the product is built to

The surfaces

All built and working

Today / Action Centre

Your top priority, then the queue. One action per live situation, or none.

Pipeline

In review, screening, shortlist, with the client, client interview, placed. Stages advance from what actually happened, never ahead of it.

The candidate page

The score with its reasoning, strengths, concerns, questions to confirm, and the recommended next step.

The Living CV

The candidate's real CV as the baseline; calls add facts inline with provenance; the candidate approves before clients see. Salary never appears in the client-facing version.

The Client Portal

Your client's window: roles, progress, anonymised profiles, feedback, availability. Your notes and scores stay yours.

Calls

Brief calls and candidate calls, transcribed live and written up automatically, including a paste-ready note for your CRM.

Calendar

Your real Outlook calendar. Interviews you arrange appear as your reminders.

Talk to Recruita

Say it: “draft a chase to Sarah”. Confirm, sent.

Find matches

A new role searches everyone you've ever worked. Your database is your moat.

Scheduling, handled like you'd handle it

01

Your client likes the anonymised profile and wants to interview.

02

Recruita drafts the availability ask. You approve.

03

Times come back; the offer to your candidate is drafted. You approve.

04

Your candidate counters, so Recruita prepares the check-with-the-client and the “leave it with me” to your candidate. Both yours to send.

05

Both sides agree, and the invite is prepared for the agreed slot, both parties, Teams link included.

And if your client says “just send me their email, I'll sort it directly” then Recruita's first move is to ask your candidate. A yes shares the details and records the moment. A no keeps you as the hub, gracefully.

Questions

Will Recruita ever email a client or candidate without me?
No. Every external message is a draft you approve. Auto-send doesn't exist in the product. It isn't a setting, it's the architecture.
Do my clients see my candidates' names?
Not until you reveal them. Clients see anonymised profiles: experience, fit, reasoning. Identity crosses only when you deliberately reveal it, and that moment is recorded.
What happens if a client asks for a candidate's contact details?
Recruita asks the candidate first. If they say yes, the details are shared and the consent recorded. If they say no, Recruita keeps you as the coordinator, gracefully.
Do I need to change my email address or CRM?
No. Recruita connects to your own Microsoft 365 mailbox: your address, your signature, your relationships. It also writes a paste-ready note for your CRM after every call.
What do I need to use Recruita?
A Microsoft 365 mailbox is the main requirement, since mail, calendar and Teams invites all run through your own account.
What does it do when there's nothing to do?
Nothing, visibly. If everyone's waiting on someone else, your desk is quiet. If the other side goes silent for a couple of days, a chase appears, drafted for your approval.
When can I get access?
We're onboarding a small number of UK agencies, one desk at a time. Request early access and tell us about yours.
